For all services the so-called access time is monitored, in order to check if the number of sessions in the system is sufficient. The access time is the number of days that a client needs to wait before there is a big enough timeslot available on a session on a certain location, so that an appointment with a certain service can be planned. This means that access time is always determined for a combination of a service and a location. For example: “In how many days can I make an appointment for an x-ray of my left knee on the location ‘Diagnostic Center South-West’?” If the access time for a certain service-location-combination is long, clients need to wait long before they can have their appointment. This could be a reason for creating more sessions for the regarding service on the said location.
Calculation of access time
If the system searches for available timeslots, only sessions are taken into account which do not have any errors (no bad validation status), which have type ‘Appointments only’ and which have status ‘Final’. Furthermore, only sessions are regarded of which the maximum number of devices is not planned yet. For example: There are certain sessions on which the service ‘Event recording’ can be planned 3 times, because the device ‘Event recorder’ is 3 times available on the session. When the system searches free timeslots to calculate the access time for ‘Event recording’ on Location X, only the sessions are taken into account which are on Location X and where the service is planned less than 3 times.
Max. allowed access time and exceeded access times
For each service the ‘max. allowed access time’ can be defined (in het ‘Masterdata’ module). In case the access time is longer than the max. allowed access time, the respective service will be shown in the list of ‘Exceeded access times’ on the sessions dashboard. This could be a reason for creating extra sessions for the said service.
