Appointment notifications: version 7.4 and higher Order notifications: version 7.7 and higher
When an appointment is planned on a session, a confirmation message (email, text message and/or letter) can automatically be generated to inform the client about the created appointment. Other reasons for messages to be automatically generated are: editing (specific properties of) or canceling an appointment. It is also possible to generate a reminder message. This message can for example be sent to the client one day before the appointment takes place.
In addition to creating messages about appointments, it is also possible to create notification messages based on an order-moment. This way, messages can be generated even before the appointment is planned. This feature can be used to invite a client for a walk-in session or to invite him to plan an appointment. If the client does not respond a few days after the invitation, a reminder can automatically be generated.
Several things need to be set up to be able to automatically generate notification messages:
- scenarios need to be defined (in which situations messages have to be sent?),
- templates need to be created (what does the message look like and which information is included?), and
- these scenarios and templates need to be linked to one or more services (for which service is which template used for a specific scenario?).
When the scenario for a certain service then takes place, e.g. an appointment is planned, (a) message(s) will be generated. All generated messages are collected in the queue on the page ‘Pending and sent messages’. If desired, the text of unsent messages can be adjusted still from there, before they are sent out.
The sending moment for appointment notifications can be set up per message type (email, text message and/or letter). For the reminder messages a separate sending moment can be defined. The daily sending moment for order notifications can also be defined per message type (email, text message and/or letter). It is possible to define per service how many days before the start of the order the message needs to be generated. The daily sending moment for the order notification reminder message is equal to the initial notification. It is possible to define per service how many days after the initial notification the reminder notification needs to be generated.
The emails and text messages are automatically sent on the defined sending moment. It is possible to let letters be automatically printed on a central printer on the defined sending moment.
Attention!
For versions 7.4 – 7.7, appointment notifications only work for appointments that are planned on sessions. From 7.8, they can also be sent for appointments planned on the day- and week planning boards.
For event appointments, it is not yet possible to send appointment notifications.
