In addition to manually planning a client’s appointment on a session, the session appointment generator (also called ‘PSE’) can also be used to create an appointment. This plan engine is mainly intended for employees of a centrally organized planning office, where the client calls for an appointment and is therefore on the phone while the employee plans an appointment for him.
After specifying the service that needs to be planned, the engine searches within all suitable sessions for the best appointment options based on the preferences of the client and the requirements of the organisation. When several services have to be planned for the same client, the PSE will suggest the best appointment combinations, for example, planning everything for this client on the same day, at the same location and without too much time in between the individual appointments.
The session appointment generator is a ‘wizard’ consisting of two input pages, a suggestion page and an overview page. After successfully completing the wizard, one or more appointments are planned for the client on a session.
Required
- User right 6: ‘Allow viewing of client information’, and at least 1 team in your scope to which the client belongs.
- User right 22.1: ‘ Edit items on session planning ‘. It doesn’t matter which session planning boards are set as scope. The session appointment generator simply considers all session planning boards.
Starting the plan engine
The session appointment generator can be started from different places in the application, and with different goals.
Planning a new appointment
A new client appointment can be planned with the PSE with or without an already defined order:
- From ‘My clients‘ with a client selected or from the dashboard of an individual client. Click the ‘Plan’ button on the action bar to open the plan wizard. These are especially useful starting points when there are no orders in the system for the client yet. If there are known orders, the next order-moment that needs to be planned will already be selected in the wizard.
- From the ‘Plan status‘ or ‘Orders‘ section of a client. Select one or more unplanned order-moments and click on ‘Plan’. These are useful starting points when orders are known and a you need to plan a specific order-moment.
- From the ‘Appointments to be planned’ overview that includes all clients, accessible by clicking on the ‘Appointments to be planned’ counter on the ‘My clients’ tile on the Storypage. Select one or more order-moments of the same client and click on ‘Plan’. This is also a starting point for when the orders are already present in the system.
- From the session planning board:
- via the generic action ‘Find option’ on the action bar. This will open the plan engine but no client will be selected yet.
- by first selecting one or more specific order-moments of the same client in the client picker and only then using the ‘Find option’ button, the PSE will open with the correct client and the selected order-moments already filled in.
- by right-clicking on an already planned client appointment and then choosing the option ‘Plan next appointment with the PSE’, the plan wizard will open with the next, not yet planned order-moment for this client already filled in.

When an already planned, but not yet executed appointment has to be moved to another date, time and/or location, then this can of course be done manually but it is also possible to let the plan engine search for new suggestions.
- From the ‘Plan status‘ of an individual client. Select a planned appointment and click on the button ‘Edit > With appointment generator’ to open the plan wizard.
- From the Agenda of an individual client. Select a planned appointment and click on the button ‘Edit > With appointment generator’.
- From the session planning board. Select a planned appointment and click on the button ‘Edit > With appointment generator’.
Create an extra appointment for the same orderVersion 7.7
When a previous appointment could not be executed, for example because the client did not show up, an additional appointment can be created for the same order-moment. For this new appointment, the session appointment generator can again provide the suggestions.
- From the ‘Plan status‘ of an individual client. Select a planned appointment and click the ‘Duplicate’ button to open the plan wizard.
- From the Agenda of an individual client. Select a planned appointment and click on ‘Duplicate’.
- From the session planning board. Select a planned appointment and click on ‘Duplicate’.
Attention!
The ‘Duplicate’ option is only available for specific registration statuses. For example for appointments with a ‘No Show’ registration. In setting 43 it can be specified for which situations it should be possible to create an extra appointment based on the same order-moment.
